Manage complex calendars scheduling meetings and coordinating appointments for senior executives. Prepare and organize reports presentations and documents required for meetings and decision making. Coordinate executive travel including booking flights accommodations and ground transportation. Act as the primary point of contact between executives and internal or external stakeholders managing communication and requests. Support executive level projects by conducting research preparing data and following up on action items. Handle confidential and sensitive information with discretion and professionalism. Organize and manage events, conferences, and executive team meetings, including logistics and materials. Track expenses and prepare detailed expense reports for executives. Liaise with other departments and administrative staff to ensure alignment and efficiency across teams. Taking memos maintaining files and organizing documents. Photocopying faxingcollating etc as needed. Liaising with external Travel agent and arranges travel accommodation itineraries and all correspondence related to arrangements as needed. Plans/organizes and implements events such as meetings, business luncheons, or client dinners. Conserves Managing Directors time by reading, researching, and routing correspondence drafting letters and documents collecting and analysing information initiating telecommunications. Maintains executives appointment schedule by planning and scheduling meetings, conferences teleconferences and travel Represents the executive by attending meetings in the executives absence speaking for the executive. Welcomes guests and customers by greeting them, in person or on the telephone. Prepares reports presentations and data as well as maintaining files records and correspondence for meetings. Handles confidential information organizes and maintains files. Research and prepares information for executive needs. Drive in organizing company events
